Configure the booking system
Configure your clinic's system-wide booking settings â set scheduling policies, configure email and SMS notifications, customise the booking page and add public holidays.
â What you can do
- Set minimum/maximum lead time and cancellation rules
- Configure client and internal email and SMS notifications
- Set up the booking widget, magnetic booking and booking policy
- Add and remove public holidays from the booking calendar
âąī¸ Scheduling policy
- Click Booking System â Configurations â Scheduling Policy tab.
- Set the following and click Submit:
Setting | What it does |
|---|---|
Minimum Lead Time | How early clients can book (e.g. 1 hour before) |
Maximum Lead Time | How far in advance clients can book (e.g. 365 days) |
Cancellation and Modify Time | How early clients must cancel or reschedule |

đ§ Email settings
- Click Booking System â Configurations â Email Settings tab.
- Toggle notifications ON/OFF and select email templates as needed.
- Click Submit.

Client Email notifications:
Notification | What it sends |

Reminder | Reminder email before the appointment |
Questionnaire & LOC Reminder | Reminder to complete questionnaire and consent form |
Booking Confirmation | Email when booking is created |
Booking Cancellation | Email when booking is cancelled |
Booking Rescheduled | Email when booking is rescheduled |
Internal Email notifications (to practitioner):
Confirmation, Cancellation and Reschedule emails can be sent to a practitioner's email address.
Security:
Setting | What it does |
|---|---|
Verify client's email address | Client receives an OTP to verify their email before booking is confirmed |
Mandatory BankID | Client must verify with BankID before booking is confirmed on the portal |
đŦ SMS settings
- Click Booking System â Configurations â SMS Settings tab.
- Toggle SMS notifications ON/OFF and select SMS templates.
- Click Submit.

Client SMS: Reminder, Questionnaire & LOC Reminder, Booking Confirmation, Booking Cancellation.
Internal SMS: Booking Confirmation and Cancellation notifications to the practitioner.
đ Booking page settings
- Click Booking System â Configurations â Booking Page tab.
- Configure the following and click Submit:
Setting | What it does |

Magnetic Booking | Optimises the calendar to eliminate gaps â booked slots connect one after another |
Booking Policy | Enter your booking policy text or URL â clients see this during booking |
Booking Widget | Copy and paste this code to embed the booking function on your own website |

đ Holidays
- Click Booking System â Configurations â Holidays tab.
- Click Add Holidays.
- Select Global Religious Holidays or Country Holidays from the list.
- (optional) Search for specific holidays.
- Click Submit â holidays appear in the booking calendar.
- To remove a holiday, click Add Holidays, deselect the holiday and click Submit.
