Manage quality documents & reports

Document & Reports is where you write and sign your clinic's quality documentation. Every save is signed and kept as a new version, so you always have a complete history.

📍 Where to find this: Quality Mgmt. SystemDocument & Reports

✅ What you can do

  • Create a document from scratch or from a template
  • Sign every document with a handwritten signature
  • Keep and download every version
  • Filter by active or inactive
  • Review a log of every change
  • Export all your documents as a ZIP

➕ Add a document

  1. Click Quality Mgmt. SystemDocument & Reports.
  2. Click the Add button.
  3. Enter a Title.
  4. (optional) Choose a Template.
  • The title and process fill in automatically, and the template's questions load.
  • Choose None to write the document yourself instead.
  1. Choose a ProcessPatient safety, Deviation mgmt. or The business.
  2. Complete the questions, or write the document in the text editor.
  3. Click Sign, draw your signature, then click Submit.

Add a document

⚠️ Title, Template and Process cannot be changed later. When you edit a document you can only change its content — so get these three right before you sign.

ℹ️ A signature is required. There is no way to save a document as an unsigned draft.

📄 Versions

Every time you save a document, MERIDIQ stores a new version rather than overwriting the last one.

  1. Click the versions icon on a document row.
  2. The Versions page lists Version, Added On and Signed by.
  3. Click View to read a version, or Download to save it as a PDF.

Document versions

ℹ️ Versions cannot be deleted or edited. The history is permanent by design — that is what makes the documentation auditable.

Document & Reports list

  1. Use the status filter at the top to switch between All, Active and Inactive.
  2. Click the eye icon on a row to read the document without opening the editor.
  3. Click the log icon to see every change made to it, with the date and who made it.

ℹ️ The log is read-only and cannot be exported.

🚫 Inactivate or reactivate a document

  1. Click the power icon on the document row.
  2. Confirm Are you sure you want to inactivate? by clicking Inactivate.
  • The document disappears from the Active list.
  1. To bring it back, switch the filter to Inactive, click the power icon again and click Activate.

ℹ️ Inactivating is not deleting. Nothing is removed, and inactive documents are still included in exports.

⬇️ Export your documents

  1. Click Export at the top of the Document & Reports page.
  2. A window titled Important confirms your request has been queued.
  3. Wait for the notification File ready: (clinic name) QMS Documents Zip, then click the link in it to download.

ℹ️ If you have exported before, the window offers the existing file plus the date it was generated. Click Generate New to build a fresh ZIP instead.

ℹ️ The ZIP contains every version of every document, including inactive ones, organised into folders by document.

⚠️ The download link expires 24 hours after the file is ready. After that, run the export again.
